Before confirming your monthly snapshot, reconcile the information in myVRS Navigator with your payroll records. This month, take a closer look at contracts and employment start dates.
Review last month’s article for the full list of information to reconcile each month. For additional support, contact VRS Employer Support.
Check Contracts and Start Dates
School division and higher education employers should verify the contract length and start date reported for each employee whose contract is less than 12 months.
- On the Employment Summary tab, compare employment changes with the Member Contract Status for Employers report.
- If a contract is listed as expired, run the Un-renewed Contract Employees report to identify contracts requiring attention.
- The Off Contract Employees report can also help identify employees whose contract information should be checked.
- All employers should check the employment start dates reported for newly enrolled employees against their payroll and HR records. You can find start dates under Enrollments on the Employment Summary tab.
Find a Discrepancy?
Correct any discrepancies before confirming your snapshot. First, determine whether the correction needs to be made in your payroll system or myVRS Navigator.
For updates in myVRS Navigator:
- Use the Adding New Information to Employee Records process guide to add new reporting information.
- Use the Correcting Employee Records process guide to correct information previously reported in error.
Email externalVLC@varetire.org with your full name and work email address to request access to the Commonwealth of Virginia Learning Center.
- Corrections cannot be submitted through batch reporting.
- You can correct records from the previous three years in myVRS Navigator. Contact VRS for older records.
After making corrections, regenerate the current snapshot and reconcile the updated amount due with employee deductions and employer contributions in your payroll records.
Ready to Finish?
Once everything is reconciled:
- Confirm the snapshot.
- Schedule your contribution payment.
- Submit reporting and payment by the 10th of the following month to avoid late fees and interest.
For step-by-step instructions, see the Contribution Confirmation and Payment Scheduling chapter of the Employer Manual. Watch the e-learning course for an additional walkthrough (COVLC login required).
